How to Convert Supplier Price Lists and Invoices from PDF to Excel (Without Errors)

A practical guide for traders and distributors to convert PDF and scanned price lists and invoices into clean Excel sheets, with an accuracy checklist.

Supplier price lists, purchase invoices and bank statements usually arrive as PDFs. Copy-paste breaks columns, and scanned PDFs cannot be copied at all. Here is how to get clean Excel data you can actually use.

1. Know which type of PDF you have

Digital PDFs (created from a computer) contain real text and convert well with tools. Scanned PDFs are images — they need OCR plus manual checking, because OCR confuses 1/7, 0/O and decimal points.

2. Decide your columns first

For a price list: item code, description, unit, rate, GST %, HSN. For invoices: date, invoice no., party, taxable value, CGST, SGST, IGST, total. Fixing the structure first saves hours later.

3. Accuracy checklist

  • Row count matches the PDF
  • Column totals match the PDF totals
  • No merged cells or text-numbers in amount columns
  • Duplicates flagged, not silently removed
  • Unclear values highlighted for review
